What the file looks like

The heading row and the five example rows, as they open in Excel. Under them the file has empty rows that are ready: the lists, the formulas and the colours are already set.

  • Red row: The follow-up was due and has not been done.
  • Amber row: The rate lapses within three days.
  • Green row: Won.

The columns, and what to write in each

  1. Quote no.

    Your own running number: Q-118.

  2. Rev.

    0 for the first quote, 1 for the first revision.

  3. Date sent

    The day it went to the customer.

  4. Party and contact person

    Firm, city and the person who decides.

  5. What was quoted

    In one line.

  6. Amount

    Total of the quotation.

  7. Valid till

    The last date for this rate.

  8. Sent by

    One salesperson.

  9. Stage

    Pick from the list.

    Fills itself. A minus number means the quote has lapsed.

How to keep it

  1. Give every quotation a number and enter it on the day it is sent, with the date it is valid till.
  2. Write the next follow-up date before you close the file. Tell the customer when you will call.
  3. A changed rate is a new revision: raise "Rev." by one and note the old amount in "Last remark".
  4. Sort by "Next follow-up" every morning. Those are today's calls.
  5. When a quote is lost, pick the reason. After a month the reasons tell you what to change.

Is this quotation register format free?+

Yes. The download starts at once: no form, no email and no sign-up. Use it and change it for your own business.

Does the file have macros?+

No. It is a plain .xlsx file with dropdown lists, a few formulas and colour rules. There is nothing to install and nothing to switch on.

Why do the example rows show dates around today?+

The five example rows carry dates that move with today, so a file opened next month still shows how a late row looks. Type over the examples or delete them before you start.

Which program do I need to open it?+

It was made for Microsoft Excel on a computer and checked there. Other spreadsheet programs open .xlsx files too, but we have not checked the dropdown lists and the colours in each of them.

Can I change the columns?+

Yes. Rename a column, add your own, or change the choices of a dropdown list (Data, then Data Validation). The "How to use" sheet says what each column is for.
