How it runs today
- An enquiry comes on Instagram or WhatsApp, a quote goes out, and the follow-up depends on who remembers.
- The same client gets three versions of a quote, and nobody is sure which one was the last.
- A consultant goes on leave, and the enquiries go with the phone.
- The balance is still not paid three days before the flight, and you find out when the tickets are to be issued.
- A passport copy or a visa is missing, and it is noticed in the last week.
How work moves through it
- 1An enquiry is noted with the destination, the travellers, the month and the budget
- 2The quote goes out on WhatsApp, and a follow-up date is set by itself
- 3Each follow-up is logged with what the client said, and each revised quote gets a version
- 4On booking, the advance is noted and the balance goes on the payment list
- 5Documents are ticked trip by trip, and you get one report every week
Every part, spelled out
Enquiry board
Every enquiry from the first message to the trip: new, quote sent, follow-up, booked, travelled. A missed follow-up turns red.
Quote versions
The amount and the version of each quote stay with the enquiry, so everyone knows which one the client last saw.
Follow-up list
Each consultant starts the day with the follow-ups due today and what was said last time.
Advance and balance
Payments listed by due date, with the departure beside them. One tap sends a polite reminder on WhatsApp.
Traveller documents
Passports or IDs, visa, tickets, vouchers and insurance ticked for each booked trip. A trip leaving soon with papers missing shows in red.
Weekly report
One message to the owner: enquiries, quotes, bookings, money received and who is leaving next.

Owners who once handled every client
Who now want to see all enquiries, follow-ups and payments without reading each consultant's chats.
What you get, and when
- Your stages, destinations, consultants and enquiry sources set up
- Open enquiries and booked trips loaded from your sheet or register
- Enquiry board, follow-up list, payments, traveller documents and the weekly report
- WhatsApp messages in your wording: quote, payment reminder, documents needed and trip status
- Logins for each consultant, on their phones, with training
- One month of care after go-live, with fixes and small changes
How enquiries are handled today
A travel enquiry needs many touches before it becomes a booking: a first quote, two or three revisions and several follow-up calls. In most agencies all of this lives in each consultant's WhatsApp. Whether a client is called back on the right day depends on one person's memory.
After the booking there is a second list to carry in the head: who has paid the advance, whose balance is due before the tickets go out, whose passport copy has not come and whose visa is still in process.
What changes with the desk
- Every enquiry is on one board, with the consultant who handles it.
- Sending a quote sets the follow-up date. A missed follow-up turns red.
- Each talk is logged in one line, so anyone can pick up the enquiry.
- Each revised quote gets a version, with its amount.
- The advance and the balance are listed by due date, next to the departure.
- Traveller documents are ticked trip by trip. A trip that leaves soon with papers missing shows in red.
What it does not do
It is not a booking engine. It does not issue tickets, hold inventory or show live fares. It also does not build day-by-day itineraries: your consultants write the plan, and the system sends it and follows it up. Billing and accounts stay in Tally or the software you use now.
What we need from you
- Your open enquiries and booked trips, as a sheet or a register
- The quote format you send today
- The names of your consultants
- Your usual terms for advance and balance
- An hour for the demo and an hour for training
One fixed price to set up. A small fee to keep it running.
No per-user charge. You see a demo on your own data before you pay anything.
Starter system
One process, set up for you and live in two weeks.
- A working demo on your own data before you pay
- Scope and price on one page
- Your current data loaded and your staff trained
- First month of care included
Care plan
Keeps the system running. Starts from the second month.
- Backups and uptime watched
- Faults fixed
- Two small changes a month
- Reply by the next working day
System Partner plan
For when your daily work runs on the system.
- Up to 8 hours a month of new reports, automations and changes
- A weekly report to the owner
- A monthly review call
- Training for new staff
How the plans work
- Half the setup price to start, the rest before go-live.
- The monthly fee is paid at the start of the month.
- Hours are written down. Unused hours do not carry over.
- First term is three months, then 30 days notice either way.
- Extra work is quoted before it starts.
What is not included
- Daily follow-up with your staff. One person on your team does that, and we train them.
- New modules and new integrations. Each gets its own quote.
- Cleaning old data beyond the first import.
- WhatsApp tool charges. You pay the tool directly, about ₹500 to ₹2,800 a month plus message charges.
Add-ons
Each has its own quote.
- A first reply to every WhatsApp enquiry within a minute, then follow-up for seven days
- Payment reminders sent from your own sheet on the days you choose
- Bills read into your sheet or Tally, checked by a person before saving
Before you ask
Does it book flights and hotels?+−
No. It is not a booking engine and it does not issue tickets. You book with your suppliers and portals as you do today. This follows the enquiry, the quote, the payments and the documents around the booking.
Can it make the itinerary for us?+−
No. It does not build day-by-day itineraries. Your consultant writes the plan, or pastes it from your own format, and it goes out with the quote. The quote amount and its versions are kept with the enquiry.
Enquiries come on Instagram, WhatsApp and calls. Do they come in by themselves?+−
An enquiry takes under a minute to note from a phone. Pulling enquiries in from a website form or an ad is an add-on with its own quote. For a first reply that goes out by itself, see the WhatsApp Enquiry Assistant.
We handle groups and office trips. Does it fit?+−
Yes. A group is one enquiry with its number of travellers, and the document checklist is ticked for the group. A separate list for each traveller is extra work and gets its own quote.
How long does it take to start?+−
About two weeks for one process, including loading your current data and training your staff. You first see a demo on your own data, before you pay anything.
What does WhatsApp cost?+−
Messages that go out by themselves use a WhatsApp Business tool that you pay for directly, about ₹500 to ₹2,800 a month plus a small charge per message. We set it up on your own number. Tap-to-send messages from your phone cost nothing extra.
Is it charged per user?+−
No. The setup has one fixed price and the monthly plan is flat. Add as many staff as you have.
Where is our data kept?+−
Your quote explains the two options: on a server we run for you, or on your own server. Either way the data is yours and you can export it at any time.

Enquiry Follow-up
Enquiries from calls, WhatsApp, IndiaMART and your website in one list. Each salesperson sees who to call today, and you see what was missed.

Payment Follow-up
See who to call today, which promise was broken and how old every bill is. Reminders go on WhatsApp, and you see collection salesman by salesman.
