Interior handover checklist and snag list in Excel
One row per thing to check, room by room: what to look at, the trade, OK or snag, who fixes it and by when. An open snag past its date turns red.
What the file looks like
The heading row and the five example rows, as they open in Excel. Under them the file has empty rows that are ready: the lists, the formulas and the colours are already set.

CarpentryElectricalPlumbingPaintingCivilFalse ceilingGlass and hardwareCleaning - Status
Not checked until somebody has looked. A snag stays a snag until it is fixed.
Not checkedOKSnagFixed - Snag found
What is wrong, in one line. Take a photo and keep it with the site.
- Person
One name who will fix it.
- Fix by
The date it will be fixed.
- Fixed on
The date it was fixed.
- Days left
Fills itself for an open snag: days to the fix-by date. Below zero means it is late.
- Client checked
Yes when the client has seen it on the final walk and accepts it.
YesNo - Remarks
Anything else: a part on order, a shade code, a warranty.
How to keep it
- A week before handover, list every room and every item in it, with what to check. Copy the example rows and change them to your site.
- Walk the site with the supervisor and mark each row OK or Snag. A snag gets one line on what is wrong, one person and a "Fix by" date.
- Each evening, the supervisor marks the fixed snags "Fixed" with the date. "Days left" fills itself.
- Walk the site again with the client. Rows the client accepts get "Yes" in "Client checked".
- Hand over only when no row says "Snag" or "Not checked". Then hand over the items of the second sheet.
Also in the file: handover pack
Tick each line before the handover meeting. Keep a copy of this list, signed by the client, with the site file.
Keys: every door, wardrobe, drawer and loft, counted and labelled
Warranty cards and bills of appliances, hardware and fittings bought for the client
Manuals of the chimney, hob, geyser, water purifier and any other appliance
Paint shade codes, laminate and veneer codes, tile names: for a future repair
Photos of the wiring and plumbing taken before the walls were closed
Spare tiles, spare laminate pieces and touch-up paint, as agreed
The list of snags fixed, and any item still pending with its date
Your home is ready for handover on (date). All (number) items on the checklist are done, and the keys, warranty cards and manuals are in one folder for you. If anything needs attention after you move in, send a photo on this number and we will give it a date.
Free to use and to change. No macros, nothing to install.
