The columns, and what to write in each

  1. GRN no.

One number per delivery. Every item of that delivery carries the same number.

  2. Date received

The day the material came in.

  3. Vendor

Firm name, spelt as on the PO and in Tally.

  4. PO no.

The purchase order this delivery is against. "No PO" if there was none.

  5. Item and unit

Item, size and the unit it is counted in (kg, pcs, m).

  6. Qty ordered

The quantity on the PO for this item.

  7. Qty received

The quantity counted or weighed at the gate.

  8. Qty accepted

The quantity that passed the check.

  9. Rejected

    Fills itself: received minus accepted.

  10. Short

Fills itself: ordered minus received, when less came than was ordered.

  11. Bill or challan no.

The number on the vendor's bill or delivery challan.

  12. Check

The result of the check. "Pending" until somebody has looked at the material.

    PendingAcceptedPartly acceptedRejected
  13. Received by

The person who signed for the material.

  14. Action and who

For a rejection, a short or a pending check: what will be done, and one name.

How to keep it

  1. At the gate, give every delivery a GRN number and write one row per item: vendor, PO number, item, the quantity ordered on the PO and the quantity received.
  2. The person who checks the material fills in the quantity accepted and the check. "Rejected" and "Short" fill themselves.
  3. A red or amber row needs one line in "Action and who": a debit note, a return, a balance to follow up.
  4. Evening: purchase reads the red and amber rows of the day and tells each vendor the same day.
  5. Once a week, filter by vendor and count the rejected and short rows. Carry the open balances to the PO follow-up sheet.

Also in the file: messages

The message to a vendor about a rejection

Our GRN 1043 of (date), against PO 2213: 60 of the 1,000 boxes came crushed and are rejected. Please replace them with the next lot, or we will send a debit note for them. Photos attached.

The message to a vendor about a short supply

When the sheet stops being enough

A sheet works while one or two people keep it. When staff must update from the godown or the road, and reminders must go out by themselves, the same columns become a system. Try it in your browser, without a sign-up.

Questions
Is this material inward register (GRN) format free?+

Yes. The download starts at once: no form, no email and no sign-up. Use it and change it for your own business.

Does the file have macros?+

No. It is a plain .xlsx file with dropdown lists, a few formulas and colour rules. There is nothing to install and nothing to switch on.

Why do the example rows show dates around today?+

The five example rows carry dates that move with today, so a file opened next month still shows how a late row looks. Type over the examples or delete them before you start.

Which program do I need to open it?+

It was made for Microsoft Excel on a computer and checked there. Other spreadsheet programs open .xlsx files too, but we have not checked the dropdown lists and the colours in each of them.

Can I change the columns?+

Yes. Rename a column, add your own, or change the choices of a dropdown list (Data, then Data Validation). The "How to use" sheet says what each column is for.
