One row per shop visit: outcome, order value, amount collected, what the shop said and the next visit date. A skipped shop or a missed next visit turns red.

What the file looks like

The heading row and the five example rows, as they open in Excel. Under them the file has empty rows that are ready: the lists, the formulas and the colours are already set.

Example rows with invented names. On a phone, slide the sheet sideways to see every column.
  • Red row: A planned shop was not visited, or the next visit date has passed, and nobody has gone back.
  • Amber row: The next visit is due today or tomorrow.
  • Green row: Someone has gone back. The row is closed.

The columns, and what to write in each

  1. Date

    The day of the visit.

  2. Salesman

    One name.

  3. Area or beat

    The market or route of the day.

  4. Shop or party

    Firm name and market, spelt as in Tally.

  5. Outcome

    Pick from the list. "Not visited" is for a planned shop that was not reached.

  6. Order value

    The value of the order in rupees, as a number.

  7. Order details

    Items and quantities, or the order slip number.

  8. Collected

    The amount received, as a number.

  9. Payment mode and reference

    Cash, cheque number or UPI reference.

  10. What the shop said

    The reason for no order, a rate from another supplier, a complaint. For a shop not visited: why.

  11. Next visit date

    The date told to the shop, or the next beat day.

  12. Next visit done

    No, and then Yes when someone has gone back.

How to keep it

  1. Keep the file as one shared sheet. Each salesman adds one row at the shop, before leaving it.
  2. Every planned shop gets a row, also a closed shop and a shop that was not reached. Pick the outcome from the list.
  3. Write a next visit date in every row. When someone has gone back, change "Next visit done" to "Yes" and write the new visit as a new row.
  4. Evening: filter "Date" for today. Count the rows of each salesman against the plan, read the "No order" rows and add up "Collected".
  5. Once a week, sort by "Shop or party" and look for shops with no visit and shops with three visits and no order.

Copy the lines below into a WhatsApp message at the end of the day.

The message is a summary. The rows in the sheet are the report.

Is this salesman daily visit report format free?+

Yes. The download starts at once: no form, no email and no sign-up. Use it and change it for your own business.

Does the file have macros?+

No. It is a plain .xlsx file with dropdown lists, a few formulas and colour rules. There is nothing to install and nothing to switch on.

Why do the example rows show dates around today?+

The five example rows carry dates that move with today, so a file opened next month still shows how a late row looks. Type over the examples or delete them before you start.

Which program do I need to open it?+

It was made for Microsoft Excel on a computer and checked there. Other spreadsheet programs open .xlsx files too, but we have not checked the dropdown lists and the colours in each of them.

Can I change the columns?+

Yes. Rename a column, add your own, or change the choices of a dropdown list (Data, then Data Validation). The "How to use" sheet says what each column is for.
