Team task list format in Excel

Eight columns for the work you give, and a second sheet for the jobs that repeat. A late task turns red, and nobody has to be asked.

What the file looks like

The heading row and the five example rows, as they open in Excel. Under them the file has empty rows that are ready: the lists, the formulas and the colours are already set.

The columns, and what to write in each

  1. Task

    One line that starts with a verb.

  2. Given by

    Name.

  3. Given to

    One name.

  4. Given on

    Date.

  5. Due date

    Date.

  6. Status

    Pending, done, checked or cancelled.

  8. Remark

    Why it is late, or what is stuck.

  9. Days late

    Fills itself for a pending task past its due date.

Second sheet, "Checklist": Job, Person, How often, Day or date, Last done, Next due, Remark.

How to keep it

  1. Enter first, message second. The task goes into the sheet, then send the WhatsApp message if you like.
  2. One task has one person in "Given to" and one date in "Due date".
  3. Morning: each person filters their own name and reads what is due today and what is late.
  4. Finished work is marked "Done" the same day, with a one-line remark. The person who gave it marks "Checked".
  5. Jobs that repeat go into the sheet "Checklist" once, each with a person and a day, and are ticked off there.

Is this team task list (delegation sheet) format free?+

Yes. The download starts at once: no form, no email and no sign-up. Use it and change it for your own business.

Does the file have macros?+

No. It is a plain .xlsx file with dropdown lists, a few formulas and colour rules. There is nothing to install and nothing to switch on.

Why do the example rows show dates around today?+

The five example rows carry dates that move with today, so a file opened next month still shows how a late row looks. Type over the examples or delete them before you start.

Which program do I need to open it?+

It was made for Microsoft Excel on a computer and checked there. Other spreadsheet programs open .xlsx files too, but we have not checked the dropdown lists and the colours in each of them.

Can I change the columns?+

Yes. Rename a column, add your own, or change the choices of a dropdown list (Data, then Data Validation). The "How to use" sheet says what each column is for.
