The columns, and what to write in each

  1. Date

    The working day.

  2. Sales

Invoice value of the day, before tax, from Tally or Busy.

  3. Day target

The monthly target divided by the working days of the month.

  4. Short of target

Fills itself: day target minus sales, on a day that fell short.

  5. Collected

Money received in the bank or in cash today.

  6. Orders dispatched

    Orders that left today.

  7. Orders pending

Orders taken and not yet dispatched.

  8. Orders late

Pending orders past their promised date.

  9. Cash and bank

Closing balance of cash and all bank accounts.

  10. Payments due this week

What must be paid to suppliers and others in the next seven days.

  11. Biggest due from a party

The party, the amount and how many days old.

  12. Needs you today

Only what the owner must decide or call about. Three lines at most.

  13. Filled by

The person who filled the row.

How to keep it

  1. Agree the numbers once with the owner. Change the column headings to your own words, and delete a column nobody reads.
  2. Name one person who fills the row every day at a fixed time, from Tally or Busy and the team's own sheets.
  3. Write each number the same way every day: sales as invoice value before tax, collection as money received in the bank or cash, and so on.
  4. In "Needs you today", write only what the owner must decide or call about. Three lines at most.
  5. At the fixed time, copy the evening message from the second sheet into WhatsApp and send it to the owner.

Also in the file: evening message

The evening message to the owner

Fill it from today's row and send it at the same time every day. Keep the order of the lines the same, so the owner reads it in a few seconds.

When the sheet stops being enough

A sheet works while one or two people keep it. When staff must update from the godown or the road, and reminders must go out by themselves, the same columns become a system. Try it in your browser, without a sign-up.

Questions
Is this owner's daily report format free?+

Yes. The download starts at once: no form, no email and no sign-up. Use it and change it for your own business.

Does the file have macros?+

No. It is a plain .xlsx file with dropdown lists, a few formulas and colour rules. There is nothing to install and nothing to switch on.

Why do the example rows show dates around today?+

The five example rows carry dates that move with today, so a file opened next month still shows how a late row looks. Type over the examples or delete them before you start.

Which program do I need to open it?+

It was made for Microsoft Excel on a computer and checked there. Other spreadsheet programs open .xlsx files too, but we have not checked the dropdown lists and the colours in each of them.

Can I change the columns?+

Yes. Rename a column, add your own, or change the choices of a dropdown list (Data, then Data Validation). The "How to use" sheet says what each column is for.
