Khatabook alternative: Vyapar or payment follow-up software?
Khatabook is a ledger app, Vyapar a billing app, payment follow-up software a collections desk. Three jobs, and how to tell which one is yours.
The outstanding list is getting longer. A friend says, "Put it all in Khatabook." Your accountant says Vyapar sends payment reminders. A search for payment follow-up software shows a third kind of product. All three are right for somebody, because they do three different jobs.

Khatabook: when a ledger app is the right choice
Khatabook's site describes one place for all credit and debit entries, payment reminders for collection, and use on mobile and desktop by the owner and staff. That is the right tool when:
- you run a shop or a trading counter and give udhaar to customers you know
- what you track is a running balance per customer, not bill by bill
- the owner, or one trusted person, keeps the khata
- a reminder on the phone is all the follow-up a customer needs
If this is you, you do not need a Khatabook alternative. You need every udhaar entered the moment it is given.
Vyapar: when a billing app is the right choice
Vyapar is for a business that wants GST bills, stock and accounts in one app. It is the right choice when you do not have billing software yet, or when making a bill from the phone matters to you.
Vyapar payment reminder: Vyapar's own guide says you switch on Payment Reminders in the party settings, then send a WhatsApp or SMS reminder from a party's row, or to many parties together. The guide also describes automated SMS reminders. If a reminder is usually enough to bring the money in, you are done.
Payment follow-up software: a different job
A follow-up system is for a firm where sending the reminder is the easy part. You sell on credit to dozens of parties. The bills are in Tally or Busy. Accounts and salespeople make the calls. The trouble starts after the call:
- A party says "Monday for sure", and nobody writes the date down.
- On Monday nobody checks whether the money came.
- The same parties miss their date every time, and nobody counts.
- You cannot see which salesperson's parties were not called this week.
- A bill is stuck on a dispute, and reminders still go to that party.
If three of these happen in your office, the missing thing is not a reminder. It is one place where every call and every promised date is kept, bill by bill and salesperson by salesperson.
Test it for one week before you pay for anything
Keep one sheet for a week, with one row per payment call:

Can you keep your app and add follow-up?
Yes. Billing and accounts stay where they are. The system we set up loads the bill-wise outstanding from a Tally or Busy export, so if your bills are in Vyapar, ask before you assume it fits.
Which one fits you?
- A shop, or a business where the owner keeps the khata: Khatabook is the better choice.
- You need GST bills, stock and accounts in one app: Vyapar is the better choice, and its reminders may be all you need.
- Accounts can call every overdue party in two sittings a week: a sheet sorted by due date is enough.
