Order tracking in Tally: what it does and what to add

What sales order tracking in TallyPrime covers, when a Tally add-on is the answer, and how a tracker for stages and dispatch works beside Tally.

Bills, GST and ledgers are in Tally, and nobody wants to disturb that. Then a party calls to ask, "Where is my material?" Tally can tell you how much of the order is pending. Whether the goods are packed and waiting for a vehicle is known only to the dispatch person. Here is what TallyPrime does by itself, what an add-on can do, and what belongs beside it.

Sales order tracking in TallyPrime: what is built in

TallyPrime is the business management software of Tally Solutions, for accounting, inventory, GST and other compliance. Its own help pages describe order processing like this:

  • You record a sales order with the items, quantities and due dates. Different lots of one item can carry different due dates.
  • When goods go, the delivery note or the sales invoice is made against that order number. A fully delivered order closes. A partly delivered one stays open for the balance.
  • The Sales Order Outstandings reports show pending orders by item, stock group or party. The party-wise pending list shows the order number, date, ordered quantity, balance quantity, rate, due date and value.
  • An order whose balance will never go can be pre-closed.
  • Dispatch details can be entered on the voucher.

So "what is pending, for whom, and how much" has a full answer inside Tally, tied to stock and to the invoice.

When Tally alone is the right choice

Use Tally's own order processing, and nothing else, when:

  1. The people who take orders also work in Tally, or pass every order the same day to someone who does.
  2. You sell from ready stock and most orders leave in a day or two.
  3. The question you ask is "what is pending?", not "at which step is it stuck?"
  4. One or two people at the office answer every party's call.

In that case a second system is only one more place to type. Open the outstanding report every morning.

Tally add-on for order tracking: ask your Tally partner first

Tally's site describes extensions as new functions built over the default features. Tally Partners write them in Tally's own language, TDL, and ready add-ons are sold in its marketplace, TallyShop. If what you miss is inside Tally, such as one more field on the order, a different pending report or a print format, this is the route. Everything stays in one place.

What a tracker beside Tally adds

Some work happens between the order and the invoice, away from the Tally computer:

  • the order moves through your own stages: confirmed, in production, ready, dispatched
  • the godown or the factory updates it from a phone
  • the transporter and LR number are saved when the material leaves
  • the party gets a status or dispatch message on WhatsApp
  • dues are followed up, with each call or promised date logged
  • the owner gets one report in the evening

This is the job of a tracker that sits beside Tally. It is not accounting software and it makes no GST invoice.

How the two stay matched

This routine keeps the two matched:

  1. Spell every party in the tracker exactly as in Tally.
  2. Enter the order in the tracker when it is taken, with the promised date.
  3. When accounts makes the invoice in Tally, write the invoice number and amount against the order in the tracker.
  4. Bring the outstanding amounts across from a Tally export, on fixed days.
  5. Enter receipts in Tally, as you do today.

The link between the two is the invoice number, written in by a person. Nothing is posted into Tally.

Which one fits you?

Stay with Tally alone if "what is pending" is the whole question. Ask a Tally partner for an add-on if the gap is a field or a report inside Tally. Try a shared sheet first if two people can keep it updated: the order register format has the columns.
