Trello and Asana alternative for staff who use WhatsApp
A Trello alternative or Asana alternative in India: what both tools are, when they are the better choice, and what fits staff who take tasks on WhatsApp.
You opened a Trello board for the factory in January. The office staff moved a few cards. The supervisor and the delivery staff never logged in, and by March the tasks were going out on WhatsApp again. Nothing was wrong with the tool. It was made for a different kind of team.
What Trello and Asana are
Trello is made by Atlassian. Work sits on a board with lists for the stages of the work, and each task is a card that moves from one list to the next. A card can carry a due date with a reminder, and a checklist. Trello also has automation, plugins that link it to other tools, and apps for desktop and mobile. There is a free plan. The paid plans are charged per user, monthly or yearly.
Asana is made by Asana, Inc. Work is organised in projects made of tasks, and each task has an owner and a due date. The same project can be seen as a list, a board, a calendar, a timeline or a Gantt chart. On top of that come goals, portfolios, workload, reporting dashboards, rules and forms, with apps for mobile and desktop. There is a free plan. The paid plans are charged per user, monthly or yearly.
When Trello or Asana is the better choice
Use one of them when:
- Your work is projects. A product launch, a website, a campaign, an audit: work with stages, a timeline and steps that depend on each other.
- The team works at a screen. Trello's website speaks to marketing, product, engineering and design teams. Asana's speaks to operations, marketing, IT, product and sales teams. A team that already keeps such a tool open through the day will use it.
- You plan ahead. You want to see who is overloaded next month and which project is slipping.
- Clients or agencies you work with already use it. Join them there.
A delegation system has no timeline and no portfolio. For this kind of work it is the wrong tool.
Task management for staff who use WhatsApp
In a factory, a distributor's office or a CA firm, most work is not a project. It is the owner giving thirty jobs a day to people on the shop floor, in the godown and on the road. WhatsApp is where they look. For that kind of team, put four questions to any tool, Trello and Asana included:
- Where does the reminder reach the person? If it is not where they already look, it will not be seen.
- How much is there to learn? Floor staff need one list for today and one button.
- Who says a task is done? If the person who did it can close it, "done" slowly loses its meaning. A check by the manager keeps it honest.
- What does the owner read? A weekly score of on-time and late work, by person, is what makes people update.

Try this for one week before you change anything
- Open a free Trello board with four lists: Given, Doing, To check, Done.
- Put every task you give this week on a card, with one name and one date.
- Ask each person to move their own cards.
- On Saturday, count the cards that staff moved themselves and the cards you had to ask about.
If the staff moved their cards, stay with Trello. You have found your tool. If only the office moved them, the question is where your staff look. A delegation sheet is the next free thing to try.
Which one fits you?
Choose Trello or Asana for project work and for a team that works at a screen. If the office already plans projects there, leave them there: the daily jobs of floor and field staff can run in a delegation system beside it.
