Custom software or a ready-made app? How a small business can decide
What to buy ready-made, what is worth setting up around your own process, what to test and get in writing before you pay, and a three-year cost comparison.
One seller offers an app you can start using today, charged per user every month. A developer offers to build exactly what you want for a fixed price, and a friend says both are a waste because Excel is enough. All three can be right, depending on which work you are talking about.
What each one really is
A ready-made app, also called readymade or off-the-shelf software, is built for many firms at once, the way Tally and Busy are for accounting. You fit your process to it. Ask how it is charged, per user or per firm, monthly or yearly, and whether updates are included.
Custom software is built or set up around your own process. You pay for the setup, then for upkeep. It fits closely, and it depends on the person or firm that made it.
There is a third choice that costs nothing: a well-kept sheet. Read Excel or software? before you spend anything.
Buy ready-made for work that is the same everywhere
Accounting, GST billing and payroll with PF and ESI. The rules are set by law, they change often, and a large vendor keeps up with them. Your CA already knows the software. Email and attendance machines belong here too, because every firm needs the same thing. Nobody should build these for you from zero.
Consider custom for work that is yours alone
How you take orders. Your production or job stages. How you quote. What you want to see every evening. This is where two firms in the same trade differ, and where a ready-made app either fits you or fights you. When it fights, staff quietly go back to WhatsApp and the register.

Mixed answers are normal. Use ready-made for the standard part, and custom only for the part that is truly yours.
Ready-made: what to test in the free trial
The risks here are a fee that grows with every user, features you never open, and a change you need that may never be made. So test before you pay.
- Enter ten of your own orders or jobs from last week. Note what does not fit.
- Make one entry from a phone, and time it.
- Open the one report you want to read every evening.
- Export all your data to Excel, by yourself.
- Ask for one small change, and note the answer.
- Get the price in writing for your real number of users.
Custom: what to get in writing
Custom work depends on one developer or a small firm, and the wish list tends to grow. These five lines are your cover.
- What is included: screens, reports, users, data loading and training.
- A fixed price, paid in stages. The first stage follows a demo on your own data.
- Who supports it, what the monthly fee covers and what a later change costs.
- An Excel export of all your data, which you can take yourself every month.
- What you receive if the work stops: your data, the logins and the notes on how it runs.
Compare the cost over three years
Write two lines on paper.
- Ready-made: the monthly fee for all your users × 36 months, plus any setup fee.
- Custom: the setup price, plus the monthly care fee × 36 months, plus paid changes.
Add WhatsApp or SMS message charges to both lines. Now you are comparing like with like, in your own numbers.

Stay on a sheet while it works. Buy ready-made for accounts, billing and payroll. Think of custom only for the one process that is special to you and hurts every week.
