How it runs today
- The vehicle insurance lapsed last week, and you found out when the driver was stopped.
- Renewal dates live in a diary, an Excel sheet and the memory of one old staff member.
- The consultant calls two days before the licence expires. Then it is a rush, and often a late fee.
- The AMC ended three months ago. You learn it when the lift or the DG set breaks down.
- When a date is missed, nobody is sure whose job it was.
How work moves through it
- 1Every licence, policy, AMC and agreement is listed once, with its due date and one person responsible
- 2That person gets a WhatsApp reminder 30, 15 and 7 days before the date
- 3After the date it goes every morning, with a copy to the owner, until the item is renewed
- 4The person marks it renewed, and the next date is set from the new validity
- 5The owner gets one report a month: what lapsed, what is coming and the money to keep ready
Every part, spelled out
One renewal register
Licences, insurance, AMCs, agreements and tax dates in one list, grouped by type, with whom to renew each one and where the papers are kept.
Reminders that repeat
30, 15 and 7 days before the date, then every morning after it. You choose the days for each type.
One person per item
Every renewal has one name against it. When staff change, you move their items to someone else.
Overdue goes to the owner
A lapsed item is copied to the owner every morning, so it cannot sit quietly in one phone.
Reminder log
Every reminder that went out, to whom and when. Nobody can say they were not told.
Monthly report
What lapsed, what falls due in the next 30 days, who is responsible and how much money to keep ready.
Made for businesses like yours
Factories and trading firms
With a factory licence, fire NOC, pollution consent, vehicle papers, insurance policies and AMCs that all fall due on different dates.
CA and compliance firms
Who track digital signatures, licences and registrations for many clients, and are blamed when a client misses a date.
Property brokers and landlords
Who handle dozens of 11-month rent agreements, and need to speak to the owner and the tenant before each one ends.
What you get, and when
- Your renewal list entered from your files, diary or Excel sheet: what, due date, person and whom to renew it with
- Your own types and reminder days, for example 60 days before for a pollution consent
- Upcoming screen, full register, person-wise view and reminder log
- The WhatsApp reminder in your wording, with a copy to the owner for lapsed items
- The monthly report to the owner
- Logins and training for the people responsible, and one month of care after go-live
How dates get missed today
A small firm has more renewal dates than anyone counts. Factory licence, fire NOC, pollution consent, insurance for the stock and for each vehicle, AMCs for the DG set and the lift, rent agreements, digital signatures. Each one falls due on a different day. Some come every year and some after a longer gap.
The dates sit in a diary, in an Excel sheet, on the policy itself, or with the one person who has always handled it. That works until the person is on leave, or the consultant forgets to call. Then a vehicle is stopped without insurance, an AMC is found lapsed on the day of a breakdown, or a licence is renewed with a late fee.
What changes
- Every renewal is in one list with its due date, the cost, whom to renew it with and one person responsible.
- That person gets a WhatsApp reminder 30, 15 and 7 days before the date.
- After the date the reminder goes every morning, with a copy to the owner, until the item is marked renewed.
- An item that has been applied for is marked so, and stays on the list until the new paper is in hand.
- Marking it renewed sets the next date. Nobody maintains a calendar.
- The owner sees what is overdue, person by person, and gets one report every month with the money to keep ready.
What it does not do
It reminds. It does not file applications, pay fees or deal with any department. That work stays with your staff or your consultant. It also does not know your dates by itself. The first list comes from you, and it is only as correct as the papers you check it against. It does not advise which licences your business needs.
What we need from you
- Your current list in any form: files, policy copies, a diary or an Excel sheet
- For each item: the due date, how long it is valid, and whom you renew it with
- The name and WhatsApp number of the person responsible for each item
- An hour for the demo and an hour for training
One fixed price to set up. A small fee to keep it running.
No per-user charge. You see a demo on your own data before you pay anything.

Before you ask
Does it renew the licence or pay the fee for us?+−
No. It reminds the right person until the work is done. The application, the fee and the visit to the office stay with your staff or your consultant.
Where does the first list of dates come from?+−
From you. Share your files, policy copies, diary or Excel sheet, and we enter the first list with you. Check each date against the paper itself while we do it, because an old sheet is often out of date.
Can it track renewals for our clients too?+−
Yes. A CA firm or a property broker can keep a list for each client. The reminder can go to your own staff, to the client, or to both.
What if the person responsible leaves?+−
You give their items to someone else. The dates, the history and the reminders stay as they are.
Can it remind earlier than 30 days, or more often?+−
Yes. The reminder days are set for each type. For example 60 days before for a consent that needs papers, and 7 days before for an AMC.
What does WhatsApp cost?+−
Messages that go out by themselves use a WhatsApp Business tool that you pay for directly, about ₹500 to ₹2,800 a month plus a small charge per message. We set it up on your own number. Tap-to-send messages from your phone cost nothing extra.
How long does it take to start?+−
About two weeks for one process, including loading your current data and training your staff. You first see a demo on your own data, before you pay anything.
Is it charged per user?+−
No. The setup has one fixed price and the monthly plan is flat. Add as many staff as you have.
