AMC renewals: how service businesses lose money already earned
Four quiet ways a service firm loses AMC income, the register that shows every contract and visit, and a renewal routine that starts 60 days early.
You serviced the machine well for a year, the AMC ended in March, and nobody called the customer. In July your technician attended a breakdown there free of charge, because "they are our AMC customer". That is earned money, lost for want of one date in one list.
Four quiet leaks
- Renewals nobody asked for. The end date is in a file. The contract lapses without a single call.
- Free service after expiry. The technician does not know the contract has ended, so the visit is not billed.
- Visits promised and not made. The AMC includes four visits. Two were done. At renewal the customer says, "You never came."
- Warranty ending without an offer. A good time to offer the first AMC is just before the warranty ends. Someone has to know that date.
AMC register format: one row per contract

Keep a second sheet as the service log: one row per visit or breakdown call, with the date, the contract, the technician, the service report number and the parts used.
An AMC renewal routine that starts 60 days early
- Every Monday: filter the register for contracts and warranties ending in the next 60 days, and do the step that is due for each.
- 60 days before: check the visits. If a promised visit is pending, do it now.
- 45 days before: send the renewal quote with a short service summary.
- 30 days before: call. Ask for a decision date and write it down.
- 15 days before: send a reminder with the date the cover ends.
- On the end date: mark the contract expired. Tell the service desk, and tell the customer politely that visits are chargeable from now.
- 15 days after: one last call. Then mark it lost, with the reason.
The service summary is what sells the renewal:
Namaste Mr Khanna. The AMC for your 10 kVA inverter (serial ending 4471) ends on 31 March. This year we made 4 service visits and attended 2 breakdown calls. The renewal quote is attached. Shall we continue from 1 April?
One check before every service call
When a complaint comes, the service desk looks at the register first: in warranty, in AMC, or expired. If the cover has expired, the customer is told the visit charge before the technician is sent. This one habit closes the free-service leak, and it can start the renewal talk as well.
Do not forget the invoice
A renewal agreed on the phone is not complete until the invoice is raised and paid. Put AMC invoices into the same routine as your other dues: see payment follow-up without spoiling relations.

An Excel register sorted by end date, opened every Monday, is enough for a few dozen contracts and one coordinator.
